Privacy policy

Last updated: 3 November 2026

Rentclear helps PG, hostel and rental owners keep track of rooms, tenants and rent. This page explains what information we keep, why, who can see it, and how you can have it deleted. In this policy, we means Sridhar Beemaneni (sole proprietor), Bengaluru, Karnataka, India, who runs Rentclear.

1. This website

  • Pilot and contact form. If you send the form we keep what you type (name, mobile number, city, property type and size, email and message) to contact you about Rentclear. It is handled by our form provider and sent to our email.
  • Visitor statistics. We count page visits with Cloudflare Web Analytics, which does not use cookies and does not identify you.
  • The website sets no advertising or tracking cookies and has no access to records kept in the app.

2. The app: what we keep

Owners and managers

  • Your email address and password (stored scrambled by our sign-in provider; we cannot read it), and your mobile number if you give it.
  • Your business and property details: names, address, rooms, beds, rent and UPI ID.
  • Details of your tenants that you type in: name, phone number, dates, rent and deposit, payments, an emergency contact if you add one, and optionally the ID type, the last 4 digits of the ID number and a photo. The photo and ID are removed when a tenant leaves.
  • Expenses, staff, notices, food menu and similar notes you add.
  • Your plan, trial and billing records.

Technical information

  • Your language choice, kept on your own device.
  • When something breaks, or when you use Report a problem: the app version, device type, screen size and the error message. Your tenants' details are not sent with it.

We do not show ads and we do not sell your information.

3. Why we use it

  • To run Rentclear: sign you in, save your records, show rent due and keep your data safe.
  • To send you messages about your account, such as sign-in emails or plan reminders.
  • To fix problems and improve Rentclear, using problem reports and error messages.
  • To follow the law and stop misuse, for example repeated free trials.

We use your information with your consent, which you give when you create an account or send the form, and which you can withdraw at any time by deleting your account or asking us.

4. Who can see it

  • Your business. A property's records are visible only to the owner and managers of that business.
  • Service providers who run parts of Rentclear for us: our database and sign-in provider (Supabase), our website and app hosts (Cloudflare, Netlify), our form provider and, when you pay for a plan, our payment provider (Razorpay). Their servers may be outside India.
  • Authorities, if the law requires it.

5. Owners look after their tenants' information

When you type tenants' details into Rentclear, you decide what to store and why. We keep it for you and do not use it for anything else. Please store only what you need, tell your tenants what you keep, and remove it when you no longer need it.

6. How long we keep it

We keep your information while your account is open. When you delete your account it is removed from the live app at once, and backup copies are overwritten in the following weeks. To prevent repeated free trials we keep only a scrambled one-way code of the mobile number used for a trial. Payment records may have to be kept longer where the law requires. Pilot form messages are deleted when they are no longer needed to contact you.

7. Your rights

  • Delete your account inside the app. How to delete your account
  • Correct your details in the app, or ask us.
  • Get a copy of your payment records from the app, or ask us for anything else.
  • Complain to us first. If you are not satisfied, you may complain to the Data Protection Board of India.

8. Keeping it safe

Everything travels over secure connections and each business can read only its own records. See Security. If a problem affects your information we will tell you and the authorities as the law requires.

9. Children

Rentclear is for people aged 18 and over.

10. Changes

If we change this policy in a way that matters, we will say so here and in the app. The date at the top shows the last update.

11. Contact and grievances

To ask a question, use your rights or make a complaint, use the contact page on this website or Report a problem inside the app. Grievance contact: Sridhar Beemaneni. We aim to reply within 7 days.
